How the Process Works
The correct apostille authority depends on where your document was issued or notarized.
| Document type | Apostille authority |
|---|---|
| State-issued certificates and local court records | The designated authority in the issuing state |
| Washington, DC documents | The appropriate District of Columbia authority |
| Notarized documents | The designated authority where the notarization took place |
| Eligible federal documents | U.S. Department of State |
State-issued documents with the appropriate state apostille generally do not require additional U.S. Department of State authentication for use in Vietnam.
Birth, Marriage, and Court Documents
Common documents include:
- Birth certificates
- Marriage certificates
- Death certificates
- Divorce decrees
- Certified court records
These documents generally require an original certified copy issued by the appropriate government office or court. Plain photocopies are generally insufficient.
Please email a clear copy before mailing your originals so we can confirm the issuing authority’s requirements.
FBI Background Checks and Federal Documents
Eligible federal documents require an apostille from the U.S. Department of State.
Examples include FBI Identity History Summaries and certain federal court and agency records.
For an FBI background check apostille, contact us for submission instructions. Other federal documents require individual review to confirm the correct format and certification.
Diplomas, Powers of Attorney, and Notarized Documents
Documents that may require notarization before an apostille include:
- Diplomas and transcripts
- Powers of attorney
- Affidavits and single-status statements
- Employment verification letters
- Agreements and corporate resolutions
- Certain passport-copy certifications
Notarization must meet the requirements of the relevant jurisdiction. Some states require additional county-level certification.
Please confirm the required document format with the receiving organization in Vietnam before arranging notarization.
Business and Commercial Documents
We can review corporate records and other business documents to determine the appropriate process.
Some documents fall outside the Apostille Convention, including certain administrative documents dealing directly with commercial or customs operations. These may still require consular legalization.
Email a clear copy and explain its intended use so we can confirm the correct route.
Vietnamese Translation Requirements
The Vietnamese Embassy’s guidance states that documents not written in Vietnamese require a Vietnamese translation notarized or certified in accordance with Vietnamese law.
Confirm the translation arrangements with the receiving authority in Vietnam before proceeding. An apostille does not replace translation requirements.
Fees and Processing Time
Your total cost depends on:
- Document type and issuing jurisdiction
- Number of documents
- Government fees
- Any required notarization, certification, or translation
- Return-shipping destination
We will provide an itemized quote and estimated processing time after reviewing your documents.
Eligible documents processed through the apostille route do not require a Vietnamese Embassy legalization fee or embassy processing stage.
Processing estimates depend on the responsible authority and exclude return-shipping time.
The total cost depends on the document type, issuing jurisdiction, number of documents, and any notarization, certification, translation, or shipping required.
- VisaDC service fee: $108 or $115 per document, depending on the service required
- Government fees: Additional; vary by issuing authority
- U.S. Department of State fee: $20 per document when a federal apostille is required
